Contact Manager
An Organized System For Working Your Leads
As Home Based Business
practitioners we soon learn that the Peter Principle reins supreme.
The Peter Principle states, "we will rise to our highest level
of incompetence". This is an interesting and
scary observation, but we learn that it is true; sooner, if not
later. Do you wonder why EcoQuest concentrates so much on personal
growth, personal improvement, goal setting, management by objective,
etc? It is simply that the company realizes that we will only be as good as
we choose to be and their growth and profitability rides on each of
us. Personal growth is mandatory in this industry.
Part
of our growth requires a high degree of personal organization. We
have developed the Contact Manager at EcoQuest Lead Store specifically for
the needs of those of us who have chosen this Home Based Industry. It
has been developed by Home Based Network Marketers FOR Home Based Network
Marketers. It goes specifically to the issues that we need; not to
the issues that a programmer with creative ideas believed we needed.
Yes,
it will take an hour or two to become familiar with the power of this tool
that will help you keep your human communications and lead records
organized. Your time will be rewarded with hundreds if not thousands
of dollars in higher earnings.

Layout of your Contact
Manager:
Note:
To use this training most
effectively you might consider printing all of this training and then
logging into your Contact Manager at EcoQuest Lead Store Then use the
printed version to guide you through the steps, links, buttons, etc. that
are discussed in the written training.
INITIAL LOG IN
WINDOW: (After you have gone to http:/www.EcoQuest Lead Store and
logged in with your sitename and password and then, in the orange area on
the left you click on Contact Manager. Click on Contacts.
LET'S GO INTO A SPECIFIC
LEAD'S INFORMATION:
Click on Lead
Name: This opens a full set of information for that lead.
Starting at the top left
corner of the display:
View Messages:
This Button takes you to series of messages that have been prepared for
you.
- These messages for EcoQuest include Air
Sales Messages, Business Opportunity
Messages and TED Messages.
- These message automatically merge your
personal information and your lead's personal information into the
messages so they appear to the reader to have been written by you
personally.
- When you select a message a special POP
UP BOX appears that displays the message as it would be sent. To
send a message simply click on SEND THIS MESSAGE NOW button and your
message is sent.
- At the time you send the message an
entry of that action is made automatically for you in your contact
manager.
- If you would like to change your message
before sending it you can. Simply type in any personalizing
remarks or comments you would like and click send. Note:
When you do this the revised message is not saved, it sends the
message you prepared and returns to the default message in the system
the next time you select that message.
- You will find messages for virtually
every application and need in this system.
- Specifically for the AIR SALES LEADS
PROGRAM, you will want to study the series of messages that have been
prepared for doing a 7 day Demo; Day 1, Day 2, etc.
- If, as you review the messages, before
sending, you find that the lead information you have isn't properly
capitalized you may want to go to EDIT CONTACT and fix the
Capitalization. It will improve your results to show properly
formatted messages to your prospects. We are not in control of how
a prospect submits their lead information.
Back to Contacts
Button: This takes you back to your MAIN DISPLAY
Add Event Button:
When you make contact with your lead you want to ADD AN EVENT. These
events will be displayed whenever you come to view the Lead and also in
the EXPANDED VIEW at your MAIN DISPLAY.
Example:
Say
you just spoke with a lead and they indicated interest in your program and
want to be contacted again in 3 days. Click on Add Event Button,
click on the Event Type, Enter the Date and time (using their time zone)
and type in notes on the event. Also, in this case you'll want
to click on Edit Contact and add the next contact date as being in 3 days.
Delete Checked
Events: You can delete events that are no longer of
importance simply by clicking the checked box and then clicking on Deleted
Checked Events.
Add Note:
This
is possibly the most important link in your entire system. You have
the ability to maintain detailed records of special notes on your prospect
at this location. There is unlimited text ability.
Example: Say you have a prospect that
is ready to move ahead with your proposal but is in need of obtaining
financing on their home first and would definitely like to have you
contact some of their friends in the meantime. This is a great place
to maintain all such personal notes for future reference.
~
SPECIAL FIELDS FOR
MANAGING YOUR LEADS: You have some special fields in your
contact manager that allow to sort and sift through thousands of leads and
find the very ones that you want to work with.
These fields include:
- Lead Type
- Date Created
- Next Contact Date
- Time Zone
- Priority
- Hot
LEAD TYPE:
This is a drop down box in the upper right hand
corner of your screen after you log into your contact manager. This
box displays each of the different types of leads that are in the system
at EcoQuest Lead Store. For EcoQuest Business Owners these fields are
active for Real
Time Form Filled Biz Op Leads, Basic Biz Op Leads Phone Surveyed Biz Op
Leads, TED Basic Leads, etc.
When you select which type of lead you want
to work with simply click on that type and click on the FIND CONTACTS
button over on the far left side of your screen. It will then
display that type of lead only.
DATE CREATED:
This is the date that the lead was delivered into your system. You
can select an automatic sorting strategy for Date Created by clicking on the
drop down box titled; "Find Contacts Where Date Created".
Your selections are (1) Earlier than, (2) Later than or (2) Equal
to. Then enter the date you wish to sort or search with. Click on
FIND CONTACTS button. You now have all of the leads that are in your
system according to the date search.
Example: Say you want to search all
of your leads that you have received since August 1st, 2003. You
would select (2) "Later Than", enter 08/01/2003 and click FIND CONTACTS. All of the
leads then displayed will be only those that came to you after August 1st,
2003.
NEXT CONTACT DATE:
As you work your leads you want to be entering your NEXT CONTACT DATE as
the date by which you will have made your next contact with your
lead. The way you modify and change the Next Contact Date is by
clicking on the name of a lead and view their information, then click on
EDIT CONTACT and enter the NEXT CONTACT DATE. From that point
on your lead field in the main display will show that NEXT CONTACT DATE in
the NEXT CONTACT DATE COLUMN.
You can sort your leads by NEXT CONTACT
DATE by clicking on the up arrow for ascending or down arrow for
descending order.
Example: Say you want to find all of
your leads that you had promised you would contact today. Assuming
you have been dutiful in filling in the NEXT CONTACT DATE you click on the
column and sort your leads by next contact Date.
TIME ZONE:
Many of your leads come with the TIME ZONE field filled. This
information is then automatically inserted into your leads file. The
time zones are Eastern, Central, Mountain, Pacific, Hawaii-Alaska.
When you are working with leads that do not have these fields filled in
you will want to use this same method for entering their time zones.
Using the Customize List Button you can add Time Zone to your main display
and you are then able to sort on that column.
Example: Say you live in the Pacific
time zone and want to start your evening calls to the East Coast and want
to call only Eastern Time Zone prospects. Click on the Time Zone
Ascending Arrow and your list is now sorted in ascending order.
Scroll through your leads and select those that you want to call that are
in the Eastern Time Zone.
PRIORITY CODE:
You can set a PRIORITY CODE for your leads according to how far they have
progressed into your program. Recommended Priority Codes are:
- 5
is the default level that is
assigned to all leads delivered to you from EcoQuest Lead Store. A
'5' is a lead that you have made no contact with at all, you haven't
even tried yet.
- 4
is
used for those leads that you have made preliminary contact with, have
called and left a message, have called and now know that they have a
working phone number. Basically, you have made your first
contact with them, in some form and know their phone number is good.
- 3
is
used for those leads that you have had meaningful personal contact
with. They have indicated good interest in learning more and you
are working on providing them additional information. They said
they're serious and want to learn more, etc.
- 2
is for those leads that you
have at the point of decision. For Air Sales Lead a 2 is
everyone that has a unit on demo or a unit is in transit to
them. For Biz Op leads a 2 is everyone that has the E-Info Pack,
like what they see and may be working to get their financing with
Best. They're your hottest and most likely next new Business Owner and
are in final stages.
- 1
is
for everyone who has either joined you or has purchased a unit from
you. All of your Business Owners are a 1 The system is handy for
keeping track of all of your Business Owners AND all of the Business Owners that they
have signed up. You can actually maintain a full 'tree' of your
downline with the Contact Manager. A 1 is for everyone that has
bought a unit from you; an incredible tool for keeping track of the
last personal contact you had with your buyers.
- 6
is for everyone who has said
not now, but possibly in 2-3-4 months
- 7
is
for every lead that you have assigned to a member of your downline,
for whatever reason
- 8
is
for whatever you want it to be
- 9
is
for those leads that say no, no interest. We recommend not
deleting your no's. Keep them for a later date. Make them
9's and then with the sorting strategies you have in the system you
won't need to see them.
HOT:
Hot is for a SPECIAL SITUATION LEAD or a HOT LEAD that you want to
identify as a TOP PRIORITY CONTACT to be made within the next 24
hours. You can add the HOT column by customizing your list using the
CUSTOMIZE button. To make a lead HOT click on their name, click on Edit
Contact and set the HOT button to Yes. You are then able to sort all
of your leads to find your HOT LEADS to contact.
Example: Say you are working 150
leads of a certain type and you only want to talk with your HOTTEST
LEADS. Simply click on the Ascending or Descending arrow at the top
the HOT Column and you will have displayed all of your HOT LEADS.

Putting All Of This
Together So It Works For You!
Leads
Automatically Entered: All Leads that you purchase
from EcoQuest Lead Store are
automatically inserted into your Contact Manager, given a date created
date and assigned a priority code of 5.
All Visitors To
Your Website are Automatically Entered: When someone
comes to visit your websites, such as Yourairknowledge.com,
Yourbreaktofreedom.com, Yourbestdiet.com, Yourbestair.com or Yourwaterknowledge.com they cannot gain access
to your site until they enter their information. At that point you
receive an e-mail from the site informing you that someone has come to
view it AND their information is automatically entered in your Contact
Manager and Autoresponder. You will find that your most serious prospects will have
several entries into your contact manager. You can delete the
multiple entries, but be sure to then enter the information of their
numerous contacts in your long
form Notes. This will assist you with recollection and also help you
determine their true level of interest.
REQUESTS FOR
IMPROVEMENTS: As you work with the Contact Manager and
visualize improvements that would be of significant value to you and to
others please take the time to write them up and send them to us at the
Help Desk. It has been only through such valuable input that the
system is as user friendly and functional for meeting our needs.
